Let's start with the role

We are looking for a highly organized and detail-oriented Accounts Payable (AP) Assistant to join our finance team. The AP Assistant will be responsible for processing invoices, managing vendor payments, maintaining accurate vendor master data, and performing vendor card reconciliations. This role is crucial for ensuring the smooth and efficient operation of our accounts payable function.

As an Accounts Payable Assistant, you will: 
  • Prepare and execute timely vendor payments through various methods according to payment schedules and terms.
  • Manage and prioritize urgent payment requests efficiently.
  • Assist in preparing payment runs and reconcile payment batches.
  • Create and maintain accurate vendor records in the accounting system, ensuring all required documentation is current and compliant.
  • Regularly review and update vendor details to prevent payment errors and fraud.
  • Ensure proper setup for new vendors, including approvals and tax information.
  • Follow up on outstanding or missing documentation for card transactions.

What you’ll bring:

  • High school diploma or equivalent; Associate's or Bachelor's degree in Accounting, Finance, or a related field is a plus.
  • 1–2 years of experience in Accounts Payable or general accounting.
  • Strong understanding of basic accounting principles, particularly in accounts payable.
  • Proficiency in accounting software (e.g., SAP, Oracle, QuickBooks, Business Central) and Microsoft Office Suite, especially Excel.
  • Excellent data entry skills with a high degree of accuracy and attention to detail.
  • Strong organizational, time management, and problem-solving skills.
  • Effective communication skills (both verbal and written) with internal staff and external vendors.
